SPACE REQUESTS FOR USE OF UNIVERSITY FACILTIES

Two forms are available for the campus community to request use of University facilities - The Web Form and The Standard Form. By submitting a request to use University facilities, customer agrees to Terms and Conditions (PDF) for use of University facilities. Please note that campus sponsored events involving external organizations and community events require 60 days' advance notice.

Space requests will be held on file until the appropriate time for event scheduling AFTER academic classes have been scheduled. Requests submitted after the priority timelines are processed in the order they are received. Event Scheduling Priority Timelines: February 1st for summer requests; June 1st for fall requests; and October 1st for winter and spring requests.

Faculty shall contact their department support staff to submit space requests.

Student organizations/groups
shall contact the University Union Event Services Office for all space requests.

The Web Form

The Standard Form (SRF)

The Web form is appropriate for campus departments to use to request space for a University meeting for the current term only under the following conditions:

  • Requesting classroom or conference room only.
  • Requesting no more than three event dates and three room assignments per date.
  • Event occurs Monday through Thursday, 7:00am-10:00pm and Friday until 5:00pm (during normal business hours only).
  • No event services are requested/required.
  • No food is being served.
  • Attendance is less than 100.
  • No external group is involved with event.
  • Note: If all conditions noted above do not apply, use the Standard Form.

The Standard Request Form (SRF) is appropriate for campus departments to use to request space for a University meeting or event under one or more of the following conditions:

  • Requesting outdoor areas or special facilities: University theatres, Music Recital Hall, activity rooms, computer and department labs, gyms, etc. (this includes IRT pc labs).
  • Requesting classroom or conference room with more than three meeting dates.
  • Event occurs after 5:00pm on Friday through 7:00am on Monday (and/or during normal business hours).
  • Event services requested/required (custodial, grounds, trades, police, event manager, etc.).
  • Food is being served.
  • Attendance is 100 or more.
  • External group is involved with event (60 days' advance notice required). Contact Space Management for more information.

Processing Time

Campus customers shall allow at least 3 business days to process the web space request form. See Use of University Facilities Process and Deadlines (PDF) for more information.

Web requests may be submitted for the current term only and up to 6 months in advance. Requests submitted more than 6 months in advance will be returned to sender unprocessed.

Processing Time

Campus customers shall allow at least 10 business days to process the SRF space request form. For large and complex requests, additional advance notice may be required. See Use of University Facilities Process and Deadlines (PDF) for more infomation.

SRF space requests may be submitted up to 1 year in advance. Requests submitted more than 1 year in advance will be returned to sender unprocessed.

Important

Web space requests received for reservations in less than a 48-hour turn around period may not be accommodated. Please plan ahead and submit your web space request at least 3 days in advance.

Phone requests from campus departments for space reservations are not accepted.

Important

Only electronic SRF space requests received via email will be processed. Phone and hard copy requests from campus departments for space reservations are not accepted.

Incomplete forms will delay the scheduling process. SRF space requests submitted without a billing account may be returned unprocessed. Event charges will be communicated to the customer prior to billing and before the event is confirmed.
