Employee-Initiated Classification Review Request

Staff Employees have a right within University policy and/or contract language to initiate a classification or skill level review of their position.  When an employee initiates a classification review request, the department is required to fund any salary increase due to an upward reclassification.
            
PROCEDURES:
 
1.Employees who initiate review requests will be asked to submit the following documents to the Office of Human Resources:
          

DOCUMENTS REQUIRED:

a. An “Employee-Initiated Classification Review” request form.  This form is available online at http://www.csus.edu/hr/forms.htm under Classification and Compensation, and in Sacramento Hall, Room 173. 

b. A copy of the position’s “old” or former position description.

c. An original and three (3) copies of the “new” position description signed by the employee, supervisor and the appropriate Vice President.  The position description form is available in Sacramento Hall, Room 173, and online at http://www.csus.edu/hr/forms.htm under Staff Employment.

d. A completed Position Description Supplement.  This is required for all positions (except IT positions), and is available at http://www.csus.edu/hr/forms.htm under Classification and Compensation.  Please use the supplement that is applicable to the position being reviewed.

e. One copy of an up-to-date department organization chart showing the incumbent’s name, payroll title, and reporting relationships.
 


2. The employee shall forward the materials to the Office of Human Resources through their supervisor, appropriate administrator and Vice President.  It is the responsibility of the supervisor, appropriate administrator and Vice President to: 1) review the request, ensuring that the job description and comments provided by the employee reflect reported duties as assigned; and, 2) ensure their own review does not unnecessarily delay the review request submission to HR.  Per CSUEU bargaining unit contract, “if an administrator has not forwarded the request to Human Resources within thirty (30) days, the employee can file the request directly with Human Resources” (Section 9.26).
 

3. The Office of Human Resources will acknowledge receipt of the request and respond with an approved classification decision within 180 days of receipt of the request; the employee shall be notified in writing of the classification decision and the reason(s) for the decision within thirty (30) days after the decision has been reached.  In order to achieve overall campus consistency, the time frame stipulated within the CSUEU bargaining unit contract (180 days from date of receipt) is also effective for Units 1, 4 and 6.  Please note that “an employee shall not submit such a subsequent request prior to twelve (12) months after completion of a previous classification review,” per CSUEU bargaining unit contract, Section 9.29.
