What number do we call to access our voicemail?

We will once again use our standard access number of 84455 while on campus and 916.278.4455 from off campus.

How do I initially set up my new voicemail?

In order to set up your new voicemail, follow the steps below.

1. Dial 84455 to begin the process with call CallXpress

2. When the system prompts you too:

  • Record the name and personal message for your voicemail
  • Choose a security code that is 5 to 15 characters long

Are options/choices similar in navigating through the new CallXpress system as they are on the current system (AMES)?

Yes and No. Some are similar and some are not. You will need to listen to all options in order to make the correct choice for what you are trying to do. Example: In our current system you choose "*3" to delete and on the new system you would choose "7" to delete. With the new system the options are very similar to our Cingular cell phone service that many staff/faculty currently use. Can I use the same password/security code on the new system that I am currently using on our current system?

Yes, you can use the same password/security code. Or if you decide to choose a different security code/password then it must be a minimum of 5 and no more than 15 characters. For basic information on the update, our CallXpress Basic Instructions file is linked below.

Should we clear out all messages from our old voicemail box prior to Spring 2011?

Yes, since we can't forward or move messages between the two systems you will need to clear them before the cut over in Spring 2011. This should only take a few minutes by reviewing any new and saved messages you may have and writing down the information you may need to keep.

How will I access my voice mail from off campus?

It's the same procedure as with the current system. Just hit the "#" before you key in your mailbox number and security code. If you listen to the attendant it will tell you exactly how to choose to proceed. For basic information on the update, our CallXpress Basic Instructions file is linked below.

When will we be cutting over to the new system?

Important! We will cut over to the new system in Spring 2011. We have a procedure in place that will allow you to set up your new voice mail box before the cut over date. Starting October 24th you may go into the new system to set up your password/security code and announcement so when we do the actual cut over on 11/3 your box will be ready to accept and retrieve messages.

What number will we call to set up our new voice mail boxes on the new system?

Between Oct. 24 and Nov. 3 at 9:00 a.m. you will call 84455. This access number will only be used to initially set up your new box prior to Nov. 3. After 9:00 a.m. on November 3rd this number will no longer be valid.

How do I change my security code?

Use the following steps to update your security code:

  1. Press 4 for Manager Functions.
  2. Press 1 for Personal Options.
  3. Press 4 to Change Your Security Code
  4. Enter a new security code followed by the # key.
  5. To confirm re-enter your new security code followed by the # key.

How do I change my name on the voicemail?

When you want to change the name that callers will hear on the voicemail use the steps below:

  1. Press 4 for Manager Functions.
  2. Press 1 for Personal Options.
  3. Press 5 to Record Your Name.
  4. Press 2 to Start Recording.
  5. Press 2 to Stop Recording.
  6. Press 6 to Review. You can press 4 to Discard and Re-record.
  7. When fished, press 5 to Save Your new Name.

How can I change my personal greeting in the voicemail?

The steps below are how you can change personal greeting:

  1. Press 4 for Manager Functions.
  2. Press 1 for Personal Options.
  3. Press 3 for Personal Greeting Options.
  4. Press 2 to Record a Normal Greeting (this is your Personal Greeting).
  5. Press 2 to Start Recording.
  6. Press 2 to Stop Recording.
  7. Press 6 to Review. You can press 4 to Discard and Re-record.
  8. When finished, press 5 to Save Your new Personal Greeting.

Sample 1: Thank you for calling. You have reached the voicemail box for _________. Please leave a detailed message and I'll return your call as soon as possible.

When finished leaving your message, you may press # for additional options or hang up. Thank you for calling. In the future, you may press # to bypass this greeting and leave a message.

The steps below are how you can change your Extended Out-Of-Office Greeting:

Can I skip over someone's voicemail greeting?

Yes, this is an available option. To skip over someone's personal greeting and go straight to their voicemail box to leave a message, press # and wait for the tone.

Note: This can only be done with numbers that are in the system. 

What is the process if I want to listen to my messages?

In order to gain access to messages left in your voicemail, please use the following stpes:

  1. Press 1 to Listen to Messages
  2. Press 1 to Listen to Unread Messages
  3. Press 2 to Listen to All Messages (only your read messages--not your saved ones)
  4. Press 5 to Listen to Saved Messages

What kind of message review options do I have?

 To review a message, the options change depending on whether or not the message is still playing or has finished. Both instructions are listed below to help with either circumstance. NOTE: You must finish listening to the message, or press 3 3 to advance to the end, to perform any action

Message review options while listening to a message:

  • Press 1 to Backup 5 Seconds
  • Press 1  1 to Return to Start
  • Press 2 to Pause
  • Press 3 to Advance 5 Seconds
  • Press 3 3 to Advance to End
  • Press 4 to Decrease Speed
  • Press 4 4 to Slowest Speed
  • Press 6 to Increase Speed
  • Press 6 6 to Fastest Speed

While listening to a voicemail message, how do I advance to the end?

To advance to the end of a message in CallXpress, press 33 on your phone.

Is there a way to record and send a message?

Yes, for those in the campus system, there is a feature that allows users to record and send a message to another mailbox within the same system. This can be done either with or without delivery options. The instructions below can aid you in this process.

  1. Press 2
  2. Record your message at the tone
  3. Press 2 to Pause Recording
  4. Press 5 to Start Recording After Pausing
  5. Press * to Discard and Re-record
  6. Press # to Stop Recording
  7. Enter destination mailbox number
  8. To send a message with delivery options:
    1. Press 0 for Delivery/Routing Options
    2. Press 2 for Urgent Delivery
    3. Press 3 to Request Receipt Notification (email telephonehelp@csueastbay.edu to activate)
    4. Press 4 to Specify Future Delivery
    5. Enter a 6-digit date (MMDDYY) 
    6. Enter a 4-digit time of day (HHMM) followed by the # key
    7. Press 1 for AM
    8. Press 9 for PM
    9. Press * Cancel
  9. Press # to Send
  10. Press * if No More Recipients

Can I forward a message from my mail box to another user?

Yes, sharing a message can be done easily by forwarding it to another user in the campus system. This feature does come with the option to be done with or without delivery options. The following instructions are detailed for either action. You must use the recipiant's 7 digit number when forwarding a message.

  1. Press 6 to Forward
  2. Record your message at the tone
  3. Press 2 to Pause Recording
  4. Press 5 to Start Recording After Pausing
  5. Press * to Discard and Re-record
  6. Press # to Stop Recording and Send Message
  7. Enter Destination Mailbox Number
  8. To forward a message with delivery options:
    1. Press 0 to Review Your Delivery/Routing Options
    2. Press 2 for Urgent Delivery
    3. Press 3 to Request Receipt Notification (must activate to receive a confirmation)
    4. Press 4 to Specify Future Delivery

Is it possible for me to reply directly to the caller who left a message on my voicemail?

Yes. Once the message has finished, the option to reply to the caller is available as long as they are in the system on campus. Replying can be done either to the caller’s voicemail or to their extension. Below are the steps that can help with this feature. NOTE: You must finish listening to the message, or press 3 3 to advance to the end, to perform this action.

To reply directly to a caller’s voicemail:

  1. Press 8 to Reply Directly to Voicemail
  2. Press 2 to Start Recording
  3. Press # to Stop Recording
  4. Press # to Send the Message

To reply to a caller’s extension:

  1. Press 8 8 to Reply Directly to Caller's Extension

Can I transfer a caller to a voicemail box directly?

Yes. During an active incoming call to the land line system on campus, a caller may be directed to any voicemail box with in the campus system. With the steps below this can be done very easily. To transfer a caller a mail box:

  1. Press Transfer
  2. Dial 8-4455 (you will hear attendant – DO NOT press #)
  3. Dial the extension where the call needs to be transferred to
  4. Hang up the phone to complete the transfer

While using CallXpress, how do I terminate a process such as recording a message?

CallXpress users can press the * key at any time to exit out of a process. This includes changing your name on the voicemail, changing a personal greeting or recording a voicemail.
