How do I request advising access in My Sac State?

There are two main steps for gaining advising access in My Sac State. You will need to complete a required information security training and submit a request for access.

Complete Training - Faculty must complete the Information Security Program Training via LearnerWeb. Please follow the instructions below to complete this requirement.

1.) Navigate to http://www.rms.csus.edu/training/instructions.html.

2.) Click the Continue button. (Note:  If you are accessing this link from Off-Campus additional setup is required, the details for which are located at http://www.rms.csus.edu/training/remoteaccess.html.) 

3.) Log in with your SacLink username and password. 

4.) Select the Course Catalog link under My Menu. 

5.) Locate the above mentioned title (using the search bar available above the course listings may be helpful).

6.) Click the Launch/Review link located to the right of the course title to begin the training

I'm new to the advising process. Is there any training available on how to use my new access?

Yes, there's an online tutorial which walks through the process of using your advising access. The tutorial is available at:  http://www.csus.edu/irt/servicedesk/support/mysacstate/faculty-staff-tutorial.html.

How do I complete the Information Security Program Training?

You will need to access LearnerWeb to complete the training. The course is available online and consists of an informational portion, a short quiz and a Confidentiality Agreement form at the end which should be printed, signed and submitted to Human Resources. Follow the instructions below to access the Information Security Training.

Navigate to https://learnerweb.saclink.csus.edu/csus_enterprise/index.htm.

Log in with your SacLink username and password. 

Select the Course Catalog link under My Menu.

I exceeded the 30-day limit for completing the Information Security Program Training and my access was disabled. I have now completed the training but my advising tab still displays the message saying the requirement has not been met. What should I do?

Once you have completed the Information Security Program Training online, your access in My Sac State should be updated overnight. If it has been more than one day since you completed the training but your advising tab is still not functioning, please contact the Service Desk.

I got my new advising access but when I click on the advising tab in my Faculty Center, I receive a message saying there's "no data" available.

The "no data" message simply means that you do not have any particular students linked to you for advising purposes. If specific advisees were linked to you in the system, you would automatically see them available on your advising tab. If you need to look up a student who is not already listed on your advising tab, click the New Drop-In Advisees button.

I'm attempting to advise a student and I've selected the desired item from the Student Details drop down menu but nothing is happening. What should I do?

After selecting the desired option from the Student Details menu, you will need to click the go (double arrow) button on the View My Advisees page or the change button on the New Drop-In Advisees page. Clicking these buttons will cause the page to update and display the selected option.

I want to contact one of my advisees electronically but I only see a phone number and home address listed. How can I contact them via email?

When you are looking at a student's record on the advising tab, the student's name will appear as a link. If you have an email client set up on your computer, clicking an advisee's name will automatically open a new email addressed to the advisee. You can also hover your mouse over the advisee's name and the email address behind the link will display in the bottom corner of your browser window. Additionally, if the advisee you are contacting happens to be enrolled in any of your classes, you can also use Sac State Messaging or the Sac Send communication tool to contact them.

How do I tell if a student's degree has actually been conferred?

A Degrees Awarded section will display at the end of the unofficial transcript if any degrees have been posted for the student.

I'm trying to run a Degree Progress Report for a student and I'm receiving a message saying the "student must be currently enrolled".

Running a standard Degree Progress Report will only work for students with active academic records. For other students, you can use the Quick What-If feature available on the Advisee's Degree Progress Report page. This feature allows you to simulate the desired report by entering the appropriate Career, Program, and Plan along with requirement terms for each.
