Configuring Outlook for "POP" E-Mail

Using the Post Office Protocol (POP) function of Outlook allows you to receive and send e-mail from various servers.  Follow these steps to configure Outlook to access your account.  Please note that only one account can be set up at a time.

Internet Connection Wizard

  1. If the E-mail Accounts Wizard does not start automatically, go to Tools, then select E-mail Accounts from drop down menu options.

  3. The E-mail Accounts wizard opens to guide you through the configuration.   In the E-mail Accounts box, select Add a new e-mail account.  Click Next.

  5. For Server Type, select POP3.  Click Next.

    • In the Your Name text box, enter your full name as you wish it to appear in your e-mail correspondence.

    • In the E-mail Address text box, enter your full e-mail address.

    • For Incoming mail server (POP3), enter pop3.saclink.csus.edu.

    • The Outgoing mail server (SMTP) should be smtp.saclink.csus.edu if you access the Internet using SacLink dial-in services.  If SacLink is not your Internet Service Provider (ISP), your SMTP server will be different.  Please see the ISP SMTP Host Names and choose the correct host name for your ISP.

    • At the Password field, type in your SacLink password if you want your password saved.  If you do not want your password saved, uncheck the option for Remember password.  Remember, if you share a work station and choose to save your password, anyone using that work station will have full access to your e-mail.

Optional:  If you have several e-mail clients configured, for instance e-mail set up at home and the office, you may wish to leave a copy of your e-mail messages on the server so that each e-mail client lists all your e-mail.  Click More Settings and select the Advanced tab from the Internet E-Mail Settings box.  Select Leave a copy of messages on the server.  Click OK.
    Note: If you leave messages on the server, you will have to be careful not to exceed your server space limit.  To aid in managing your space, select the Remove from server option that best suits you.

  11. Click Next in the Internet E-mail Settings (POP3) box.  The Congratulations window opens confirming your configuration.  Click Finish to complete your setup.

Receiving and Reading E-mail

  1. After Outlook has been started, click the Send/ Receive button.

  2. If you didn't have Outlook save your password, type in your account password in the field provided.

  5. Any new e-mail appears in the upper-right window.  Click any message you want to view and it appears in the preview pane below (if you don't automatically see the new messages, make sure that Inbox is selected).  If you double click the message item, a new full screen window opens displaying the message.  When done reviewing the message, close the window to return to the main Outlook window.

Composing and Sending an E-mail message

  1. To send a message, click New.  A New Message window opens.

  3. In the To field, type in the address of the person you're sending to or add an entry from your address book by clicking the To button.  If you want to send the same email as Bcc click the To button and add the address to the Bcc field.
    Bcc is used for other recipients that you want the message sent to but you don't want the list in this field to be shown (i.e. if you put one person in the To field, ten in the Cc field and 100 in the Bcc field, all the receivers will only see the first eleven address listed).

  4. In the Cc field (Cc stands for carbon copy), type in the other recipients you want to receive your e-mail.

  5. Type the topic of the message in the Subject field.

  6. Type the body of the e-mail in the space provided.  Click Send.  A copy of your message is saved in your Sent Items folder.
