A GUIDE TO USING SIS+ (Student Information System) AS AN AID TO FACULTY ADVISING OF STUDENTS

A. OBTAINING THE RIGHT TO ACCESS SIS+

  • A computer user account must be obtained by application to the Computer Center User Desk. A 7-digit user name will be assigned. A password will be assigned, but a new password may be chosen by the user any time the system is accessed.
  • An SIS+ account must then be obtained by application to the Student Systems Support Office of Admissions and Records. The completion of this application will provide the user with a system number, an operator ID number and a password. (This password may not be changed except on request to Admissions and Records.)

B. LOGON PROCEDURE

  • Open the Ipapps file that appears on the desk top and double click the following icon in that file: Tcp3270.
  • Click OK button.
  • Click Connect button.
  • On the first screen, hit ENTER after each entry. Unless it is the start of a new semester, no new password need be entered. (Caution: when you enter a new password, do not hit ENTER; hit TAB. This will take you to the next line where you enter the new password a second time. If you hit return and try to go through the routine twice, you will be disconnected from SIS+ and possibly lose your rights to use it. Also, new passwords must not be repeats of passwords used in the past.)
  • The second screen is information, to be read or not. ENTER.
  • Provide the three pieces of information asked for on the third screen: System #, Operator ID #, and Password. The screen will automatically move to each line of information, so no RETURN's are needed. When all information is entered, RETURN.
  • You are now at the start-up, main menu screen for SIS+, screen 001.
  • Enter the desired screen #. ENTER (See Section G for helpful screens and #'s.)

C. GENERAL INFORMATION FOR USING SIS+

  • SIS+ is a menu-driven system using three-digit numeric, alpha, and alpha-numeric codes for accessing information screens.
  • Key pieces of information needed to access desired screens include:
    • Screen #.
    • Student ID # (SSN). (If not known, see section D, below.)
    • Desired semester (TERM). This is comprised of the last two digits of the year followed by the number "1" for January Intersession, "2" for spring, "3" for summer, or "4" for fall. For example, 012 for Spring 2001.
    • Course call # or course title . Entering the course title requires care.

      · For a course with an alpha sub classification: Econ001B01 (Note the leading zeros. Two- or three-digit course numbers require one or no leading zeros, respectively.)

      · For a course with no alpha: Econ145 01 (space between the Catalog # and the section #)

      · If the Department abbreviation is three letters, space between it and the course number.

  • Scroll through screen pages by using the ENTER key.
  • To return to a previous page, the desired page number may be entered into the "Next Page" space in the upper right-hand side of some screens or in the "Next" space in the lower right hand corner of some other screens. For some screens, no return is possible; forward scrolling to loop back to a screen must be used.
  • F2 will access HELP for any particular screen. For a particular item on a screen, set the cursor on the item and hit F2. Only certain items in certain screens have individual item help. Exit from HELP with the F4 key.

D. FINDING A STUDENT WITHOUT KNOWING THE SSN

  • Select screen 002 and type the student's last name, SPACE, and first name (as much as will fit) in the SID space. ENTER
  • If there is only one student with the name you have entered, that student will automatically be selected and the SSN put in the SID space.
  • If there is more than one student with the first and last name, scroll down the list of students until the student is found.
  • Type the number of the student listing in the lower left-hand corner LINE NUMBER space. ENTER. This will place you in the start-up screen with the student's ID # in the SID space.

E. STUDENT ACADEMIC RECORD (informal transcript): SCREEN 136

  • Type in screen number 136.
  • Type student ID in the SID space unless the student you want is already selected. ENTER.
  • For an undergraduate record, type U in CAREER space. For a graduate, type G. ENTER.
  • Scroll record pages.

F. AUDIT OF STUDENT DEGREE PROGRAM: SCREEN 681

  • This screen allows you to call up a degree program audit for the student, including the major program and the GE program. Not all students have audits available and some audits may be incomplete, so care must be taken in using the information found in the audit.
  • Type "p" for primary and hit RETURN. It takes a few seconds for the audit to come up.
  • To return to Screen 681from the audit screen, press F9.

G. AUDIT OF ALL COURSEWORK TAKEN: SCREEN 682

  • This screen shows all coursework that a student has taken, including transfer courses from other institutions. Grades earned in the courses are included.
  • Midway down on the left side of the screen, below the statement, "Enter a specific academic requirement name," type "adviseu" and hit RETURN.
  • To return to Screen 682 from the audit screen, press F9.

H. OTHER SCREENS WITH HELPFUL INFORMATION

  • 003: Student address and phone number.
  • 105: All sections of a course, with time, meeting room, instructor, and seats available. Requires course call number or the course alpha-numeric designation and semester.
  • 107: Roster of students enrolled in a course section. Requires course call number or the course alpha-numeric designation and semester.
  • 109: A student's current schedule of classes including days, times, and meeting rooms of classes. Requires student ID# and semester.
  • 120: A student's time schedule for the current semester by day of week and hour of day. Requires student ID# and semester.
  • 139: History of a student's registration for the current semester: adds, drops, when made, etc. Requires student ID# and semester.
