2018 - 2019 Housing Application for Returning Residents

Important Details:

To Receive Returner Priority Status:

  1. Submit online application by February 12, 2018 at 12:00 p.m. (Noon)

  2. Submit $250 Application Installment payment by February 12, 2018 at 11:59 PM.

  3. If under the age of 18, your parent or guardian will need to complete the electronic signature process as well.  Before you submit your online housing application, you will provide information that will generate an automatic email and link that will go directly to your parent/guardian's email that you provided.  Your parent/guardian will need to click on the link and electronically sign the license agreement.  Once this is completed by your parent/guardian, you will receive a notification email to log into your housing application to finalize and electronically submit your application.  This application must be submitted by February 12, 2018 at 12:00 p.m. (Noon).

WHAT IS FERPA (Family Educational Rights & Privacy Act)?

The Family Educational Rights and Privacy Act of 1974, as amended (also sometimes referred to as the Buckley Amendment), is a federal law regarding the privacy of student records and the obligations of the institution, primarily in the areas of release of the records and the access provided to these records. Any educational institution that receives funds under any program administered by the U.S. Secretary of Education is bound by FERPA requirements. Institutions that fail to comply with FERPA may have funds administered by the Secretary of Education withheld.

What does this mean to you? When a student turns 18 years old, or enters a postsecondary institution at any age, the rights under FERPA transfer from the parents to the student. Parents no longer have a right to their students’ records without written permission from the student. (e.g. roommate conflicts, disciplinary hearings/sanctions).

We highly encourage students to be actively involved and understand their responsibilities regarding their housing license agreement (contract) and payment obligations. We also encourage students and parents/ guardians to thoroughly discuss housing information, contract and payment schedule. If questions arise, students are welcome to contact the University Housing Services Office.

Please note that due to the Family Educational Rights and Privacy Act (FERPA), we are not able to discuss a student’s housing record with anyone other than the student. If students wish to allow Housing personnel to discuss their confidential information as protected under FERPA regulations with another individual such as a parent/guardian, there must be a signed Housing FERPA waiver on file with the University Housing Services Office designating the individual(s) to whom information can be released. Waivers will be valid for that academic year only. New waivers must be filed with the Housing Office for each academic year the student resides on-campus. These waivers can be revoked by the student at any time. Housing FERPA waiver forms are available from the University Housing Services Office.

Housing Application Timeline 2018-2019

February 1

The Priority Housing Application Process for current residents who wish to return and live on campus again next academic year begins February 1, 2018 at 10:00 a.m. “Returner Priority” allows residents to select a room space. In addition, residents with this priority status will be guaranteed housing.

February 12

The Priority Housing Application Period for current residents ends at 12:00 p.m. (Noon), February 12, 2018. The $250 application installment must also be paid by 11:59 p.m. on February 12, 2018.  Current residents may still apply and/or pay application fee after this deadline, but no longer have guaranteed housing or priority status.

February 16

Same Room Signup:  Returning Residents with Priority Status that are currently living in the American River Courtyard or Riverview Hall (Upper Division Wing) are able to select their same room for next year.

February 20-26

Returning Residents with Priority Status are able to select a room space within the American River Courtyard or Riverview Hall (Upper Division Wing).  Specific details about room selection will be provided to residents before room selection begins.

February 28

Room Assignments will be made for any student with Priority Status for 2018-2019 but did not select a bed space.  Also any other returning applicant who have completed their application by February 27, 2018.

May 1

Roommate Seach Process opens for applications completed after February 28.  Room Assignments will be finalized in July.

June 22

Cancellation Deadline: Students wishing to cancel their application may do so for any reason by June 22, 2018. Applicants need to cancel through the housing application site. A $250 cancellation fee will apply.

If requesting to cancel after the June 22, 2018 deadline, a Cancellation Request Form and supporting documentation must be submitted. Request is subject to approval.  If approved, a $250 cancellation fee will apply, plus applicable prorated rent from the required 30 day notice period.  If not approved, the student will remain obligated to the 2018-2019 Housing and Dining License Agreement.

June 29

Last day to finalize roommate groups.

July 13

Finalized assignment information sent to residents.

July 18-23

Room swap process occurs. Enables students to swap assigned room spaces with another eligible resident. 

August 1

Room and Board charges posted to students account based on room style and meal plan choice.
