How to Request Services

We've streamlined our process to ensure timely and effective accommodation delivery.

Important: Before requesting services, ensure that your request is being sent to the correct office by reviewing the criteria below.

If your request is for a student’s course or class-related activity (such as lectures, labs, discussion groups, field trips, or other required course activities), please contact the Disability Access Center (DAC) to request services.

If your request is for a general campus event not related to a student’s course—such as extracurricular activities, campus lectures, campus events, research outside of coursework, or events involving guests, prospective students, or community members—you’re in the right place. Please submit your request through our office by following the guidance on this page.

STEP 1: Plan Early
Include accessibility in your initial event planning. Add our standard accommodation statement to all promotional materials.

Ex: "To request reasonable accommodations, contact [Name] atv[Phone/Email] by [Date]." It is recommended to ask for accommodations to be requested at least 10 business days prior to your event.

STEP 2: Submit Request
Submit the ASL Interpreting Services Request Form as early in advance as possible. Email us with information about your event as early in advance as possible.

It is the responsibility of the Event/Meeting planners/hosts/sponsors to ensure accessibility by submitting the complete information listed below.

  1. Date(s), start/end time of the event
  2. Name, title, Dept/Unit and the contact information of the Event sponsor or host.
  3. Physical Location or Virtual Link for the event
  4. Agenda and material for the event; these can include event planners' “Run of Show” internal documents, attendee handouts, Canvas sites, PowerPoints, etc., Draft materials are fine and at minimum, summarize the content and context of the event.
  5. Names/Titles of the speakers/presenters
  6. Full Names of the participants requesting accommodations, along with their contact info, and how they are affiliated with the University.

Due to the number of requests, and the small number of staff allocated to these tasks, requests can only proceed with the complete information listed above.

STEP 3: Collaborate
Once a request is received, we'll work with you to understand your needs and may ask for additional materials to ensure quality service.

STEP 4: Confirmation
Once all information is received, services will be confirmed, and the names of the ASL/English Interpreting team will be communicated to the Event Sponsor/Host.. Please note that submitting the information in Step 2 to our email is not a confirmation of services.

Event Planning Best Practices

All campus departments and event organizers are responsible for ensuring accessibility for all participants and making every effort to provide equitable access to event content and experiences, including in-person, virtual, and hybrid events. Below are some best practices to help guide you to creating collective access.

  • Provide significant lead time - ASL-English interpretation is specifically listed as requiring substantial advance notice. As soon as you know you are planning an event that may need accommodations, please let us know.
  • Request deadline - Recommend at least 10 business days in advance for accommodation requests
  • Collaborate with specialists - Work with the ASL/English Campus Interpreter Coordinator, who partners with the Deaf Community to ensure best practices
  • Proactive planning - Anticipate accessibility needs early in the event planning process. You can use our Accommodation Responsibilities Matrix to help guide you. You can also refer to our Inclusive Meeting Practices Slide.

  • Include an acommodations statement in all advertising - "To request reasonable accommodations, contact [Name] atv[Phone/Email] by [Date]."
  • Clear contact information - Include name, phone number, and email address for accommodation requests in all event advertisements
  • Accessible formats - Ensure all event advertisements meet accessibility standards (readable fonts, color contrast, descriptive text)

  • Collect feedback - Include mechanisms for anonymous accessibility feedback after events
  • Review and learn - Use feedback to inform future event planning
