CastleBranch Clearance Instructions for GERO 101, 103, 130, and 131

We have arranged for all Gerontology students to use CastleBranch – an online company that coordinates and manages the variety of mandatory agency requirements. Once you complete everything needed, verification will be sent to the Gerontology Program, which will then allow us to give confirmation to your professor that you can participate in Service Learning (GERO 101 and 103) or your internship (GERO 130 and 131).

Clearances are DUE BEFORE the semester begins.

Please start the process early if you know you will be taking GERO 101, 103, 130, or 131.

GERO 101 and 103

**Please watch your csus.edu email account for updates.

In Fall 2022, GERO 101 students will ONLY be required to do HIPAA. GERO 103 students are required to do BOTH HIPAA AND a 2-step TB.

101 and 103 Clearances are DUE before your class starts.

This means the student must be cleared in CastleBranch. Exceptions may be made for students who add the course late. Please note:

  • A 2-step TB test may take up to 2-4 weeks to complete.
  • CastleBranch may take up to 2-4 weeks to review and clear test results.
  • There may be false positives and other complications which will require further testing and take more time.

Please start the process early..

Students requiring a 2-step TB (GERO 103 in Fall 2022) need to purchase the one CastleBranch account -- LK49im where you will upload your TB result. HIPAA can now be done online for free.

*Please note, this information is updated as of 7/21/2022.*

  1. (GERO 103) Order the CastleBranch clinical package - LK49im - for your TB. To do this, go to https://discover.castlebranch.com/ and select "Place Order" at the top of the screen. Then on the next screen under package code, enter LK49im for "LK49im: Medical Document Manager" for $35 and then continue to place the order.
  2. (GERO 103) Complete the TB test. To do this, get your 2-step TB tests from your doctor/ The WELL/another medical facility. Then upload your TB results into your CastleBranch account where it asks for TB.The 2-step TB test is as follows: 1. Visit 1, Day 1: PPD antigen is applied under the skin 2. Visit 2, Day 3: PPD test is read (within 48-72 hrs of placement). If positive, it indicates TB infection, and a chest x-ray and further evaluation is necessary. 3. Visit 3, Day 7-21: a second PPD skin test is applied (for those that test one was negative)4. Visit 4, 48-72 hours after placement: the second test is read. A positive 2nd test indicates TB infection in the distant past. Chest x-ray and further evaluation will likely be necessary.
  3. (GERO 101 AND 103) To complete your HIPAA:
    1. Click on https://compliancy-group.com/free-hipaa-training/2. Complete the training.3. Email your certificate of completion to ssis-gero-sc@csus.edu.

You do not need to complete the other tests and immunizations listed in CastleBranch for GERO 101 or 103. You only need TB.

**If you took GERO 101 in a previous semester:

  • You do not need to redo the HIPAA unless you took any time off.
  • Your 2-step TB is up-to-date for 1 year. When it expires, including mid-semester, you will need to do a 1-step renewal.

The renewal TB test is a 1-step TB. That means your doctor does a skin test and then reads about a week later.

CastleBranch will send you a reminder when your TB expires. Be sure to upload your results into your CastleBranch account.

YOU ONLY NEED TO PURCHASE THIS PACKAGE ONE TIME. YOU WILL RE-USE IT FOR GERO 103, 130, and 131.

GERO 130

GERO 130/131 Clearances are DUE BEFORE the first class session. Please watch your csus.edu email for instructions and updates.

Please note:

  • A TB renewal, flu shot, drug test, and other medical requirements may take up to 1-4 weeks.
  • CastleBranch may take up to 2-4 weeks to review and clear test results.
  • MyCE may take up to 2-4 weeks to get set up.
  • A background check may take up to 2-4 weeks to complete in CastleBranch
  • There may be false positives or complications that require further testing and take more time.

Depenting on your internship location, GERO 130 students may need an up-to-date TB test. You should have already completed your HIPAA for 101. Your TB expires after one year so, if your internship requires this, you will need to do a renewal when it expires after 1 year.

CastleBranch will send you a reminder when your TB expires. Be sure to upload your results into your CastleBranch account.

The renewal TB test is a 1-step TB. That means your doctor does a skin test and then reads about a week later.

In addition, you will need to complete any additional test, immunizations, or other requirements set by your internship. Ask the GERO department office and your internship supervisor for details.

Eskaton:

In addition to HIPAA and an up-to-date TB, students doing an internship at Eskaton will need to have the following cleared in CastleBranch:

  1. Flu Shot – you will need a new one each year. Please upload your documentation from the doctor into CastleBranch in LK49im. You may have to wait for the current year's flu shot to become available and you can opt out if you wear a face mask during flu season.
  2. Background Check – you will need to order the Background Check package in CastleBranch. To do this, go to https://discover.castlebranch.com/, click "place order," and enter LK49bg for $42.

Sutter or Dignity Health/Mercy

*Please note, this information is updated as of 11/26/2019.*

In addition to HIPAA and an up-to-date TB, students interning with Mercy and Sutter will need to also be cleared in MyClinicalExchange MyClinicalExchange (MyCE) is another tracking system like CastleBranch. You will need to purchase a 12-month subscription for $39.50.

Students with Sutter and Dignity Health will need to compete the clearance process in MyCE AND CastleBranch. For the medical immunizations and tests, you may do so with your doctor, the Well, or other medical facilities.

Students with Mercy/Dignity Health and Sutter will need the following:

  1. Email ssis-gero-sc@csus.edu AT LEAST 2 weeks before the semester starts with: A.) The days and times you plan to work. B) Your internship supervisor’s name. C.)The official name and address of your facility. We need this information to link up your account in MyClinicalExchange.
  2. Flu Shot – Please get the flu shot each year or you may formally decline in MyCE and wear a mask while you are at your internship. You will need to complete the process for the flu shot documentation in MyCE AND upload your documentation from the doctor in CastleBranch in LK49im.
  3. BLS/CPR – Please do this and upload your documentation into MyCE.
  4. Photograph – Follow the same requirements as a passport photo and upload your documentation into MyCE.
  5. All training sessions, exams, and documents you are prompted to do in MyClinicalExchange.
  6. Background Check – you will need to order the Background Check package in CastleBranch. To do this, go to https://discover.castlebranch.com/, click "place order," and enter LK49bg for $42.
  7. Drug Screen - You will need to get a 7-panel drug screen. Then you will need to order the drugscreen packge in CastleBranch. To do this, go to https://discover.castlebranch.com/, click "place order," and enter LK49dt for $35. Please ALSO upload into MyClinicalExchange.
  8. Health Screen - You will need to get a health screen. Then upload your documentation from the doctor in CastleBranch in LK49im. Please ALSO upload into MyClinicalExchange.
  9. Immunizations/etc.: rubella, rubeola, mumps, varicella zoster, tdap, hepatitis B - You will need documentation that all of these immunizations and tests are up to date. Please upload your medical documentation into CastleBranch in LK49im.
  10. Mercy Only (until further notice): Bloodborne Pathogen Training - Please email melanie.saeck@csus.edu for details.

Every Other Internship Location:

You are required to do any additional clearance procedures required by your internship agency.

GERO 131

GERO 130/131 Clearances are DUE BEFORE the first class session. Check your csus.edu email for updates and instructions.

Please note:

If your internship requires TB or a Flu Shot, both of these are only good for one year.

CastleBranch will send you a reminder when your TB expires. Please upload your up-to-date flu shot, immunization, and/or TB test results into CastleBranch in LK49im.
