Temporary Agency Employment

AppleOne Temporary Agency campus hiring has concluded effective June 1, 2023. All temporary hiring thereafter should be processed via CHRS Recruiting.

Temporary Agency employees can be appointed based upon department request and approval. Please note that temporary placements cannot exceed 180 calendar days. This includes weekends & holidays.


Temporary Agencies have received instructions to complete requests received only from the Human Resources Department.

Procedure

  • Upon receipt of the form, Human Resources/Employment Services will submit the request to the Temporary Agency.
  • If the Hiring Department wants to review resumes of candidates, Human Resources/Employment Services will forward to the department for review and work with the department on coordinating interviews if necessary.
  • If the Hiring Department is not requesting to review resumes, the temporary agency will contact Human Resources/Employments Services when a placement is found.
  • Once the background check is cleared and all paperwork is approved, the hiring department will be notified of the date that the individual is eligible to begin work. An offer letter of employment will be prepared by Human Resources/Employment Services and e-mailed to the individual being hired and the supervisor/manager.
  • Invoices from the agency are received in Human Resources and processed for payment. Upon payment an expenditure will be completed in order to reimburse Human Resources for the charges. Funding information for the department must be completed on the request for temporary agency

Position Classifications

Beginning July 1, 2017, the position classifications are as follows:

General Clerical Assistant

Requires a minimum of 3 years' progressively responsible staff, administrative or secretarial experience and the demonstrated ability to perform the functions listed below:

  • Screen and route phone calls
  • Generate, edit and distribute correspondence, reports and documents
  • Screen and route mail
  • Greet visitors
  • Make travel arrangements and prepare travel claims
  • Initiate and maintain database files, lists and labels
  • Maintain/coordinate complex calendars, schedules and meetings
  • Strong verbal, written and interpersonal communication skills
  • Establish priorities and meet deadlines
  • Work independently
  • Thorough knowledge of English grammar, spelling, proofreading and punctuation
  • Corrected typing speed of 45 wpm
  • Proficiency with Word, Excel, and Outlook

Administrative Assistant

In addition to the requires listed for General Clerical Assistant, the level requires a minimum of 4 years' progressively responsible staff, administrative or secretarial experience and the demonstrated ability to perform the functions listed below.

  • Forecast, monitor and handle budget and purchasing matters.

Executive Assistant

In addition to the functions listed for General Clerical Assistant, Administrative Assistant, & Executive Assistant, this level requires 6 years’ progressively responsible staff, administrative support or secretarial experience for a high level executive, or administrator; experience handling highly confidential and sensitive matters; the ability to take considerable initiative and independent judgment in carrying tasks through to completion; demonstrated ability to complete tasks using initiative and sound judgment; must be able to interface with officials
from the educational, governmental and business communities; ability to use tact and good judgment in responding to requests for information and/or interpretations of policies and practices implemented.
