Hornet Weekly

Hornet Weekly student newsletter banner in green with Way of the Hornet campaign logo

Hornet Weekly is an email newsletter sent every Tuesday (with exceptions for holidays) to currently enrolled undergraduate Sacramento State students.

Hornet Weekly is a collaborative effort of Information Resources & Technology and Student Affairs with support from the President's Office, ASI, University Communications, Academic Affairs and campus partners. The goal of Hornet Weekly is to reduce the number of emails students receive while providing an easy-to-read digest to better keep students informed.

Overview

Hornet Weekly includes news brief style items submitted by campus partners in the following categories:

  • News and Announcements: Need-to-know information affecting all or most students.
  • Events: Campus events that welcome a general student audience.
  • Know Your Resources: Information on new, existing or updated tools and resources available to students.

Deadlines:

  • Deadline for item submissions: 1 p.m. on the Thursday before the send date
  • Deadline for Word document submissions to the Hornet Weekly Editor (Division Coordinators ONLY): 1 p.m. on the Friday before the send date.

Submission Form

Items submitted for inclusion are of general interest to currently enrolled undergraduate Sac State students.

Hornet Weekly is not intended to replace targeted SacSend emails. If you need to email a SacSend message to a targeted group, please follow your division or department's workflow.

Submissions must be made via the Hornet Weekly Submission Form. Those sent by email or other methods will not be accepted. Items have strict character limits due to space and formatting constraints (see form for details).

For complete instructions, guidelines, restrictions and limits, and to submit your items, visit the link below.

If you'd like to instead submit items for a faculty and staff adudience, please use the Briefing submission form.

The Hornet Weekly Submission Form utilizes Single-Sign-On and is intended for use by authorized Sacramento State personnel only.

Hornet Weekly Newsletter Archive

For faculty and staff, campus community members, and members of the Hornet Family who wish to read Hornet Weekly, our archive features online versions of each edition (usually updated by Tuesday afternoon).

Frequently Asked Questions

We recognize that, although some events and news overlap and might appear in the Briefing, employees likely want to stay updated on campus happenings for students. Moreover, some faculty members have expressed a wish to share information with students who might not read the newsletter.

Unfortunately, faculty and staff cannot receive Hornet Weekly as a direct email send.

However, we have an archive of past newsletter editions for online viewing. Links are usually added by Tuesday afternoon. We are exploring other solutions for this issue and will share updates with faculty and staff as needed.

Members of Associated Students, Inc. (ASI) selected the name "Hornet Weekly." They also assisted in naming the sections and offered valuable feedback from the student audience's perspective.

Submitters must deliver their submissions by 1 p.m. on the Thursday before the send date.

Division Coordinators are required to submit a finalized and approved Word document, containing all submissions for their division or department, through the submission form by 1 p.m. on the Friday before the send. This timeline ensures the Hornet Weekly Editor has sufficient time to prepare the newsletter for the Tuesday morning dispatch each week.

Currently, Hornet Weekly is only meant for undergraduate students due to the significant differences in messaging, events, deadlines, and other priorities between undergraduates and graduates.

Both undergraduate and graduate students will still receive occasional targeted SacSend emails when needed. If the messaging in Hornet Weekly is also appropriate for graduate students, you can choose to send it as a SacSend to them.

For Division Coordinators, see the how-to guide linked from this webpage. We've also included on this webpage links to other necessary assets, such as templates, and a quick reference cheat sheet version of the how-to guide.

For submitters, instructions are simpler and are included as part of the submission form.

The Trumba calendar is Sac State’s campus events calendar system.

Submissions can be submitted through this link. For additional details about the Trumba calendar, it’s recommended to contact IRT, which manages the system.

The University recommends that all event managers utilize the Trumba calendar to ensure the maximum number of events are listed. It also provides a quick and simple way to share more information with students, given the 500-character limit (including spaces) for the Hornet Weekly entry.

You should still submit a Word document through the submission form using the provided template for the following reasons:

  1. It verifies that your submission is in the correct format (font, style, size, etc.), has the appropriate length, and includes working URL(s).
  2. It allows you to place the item in the desired section. Please still delete the placeholder text from each section, date the document at the top and in the file name, and submit it as you would if you had multiple items.

Finally, if you have Reminders to add, preparing a Word document makes it easy to include them.

Know Your Resources Archive

To ensure students have continual and convenient access to vital information, we maintain an archive of evergreen items that have been previously featured in the Hornet Weekly Know Your Resources section.

Division Coordinators

Hornet Weekly Division Coordinators receive submissions for their area, revise them for clarity, spelling, and grammar, and usually send them back to submitters for review and approval. Coordinators compile and organize submissions in a Word document and send it to the Hornet Weekly Editor for inclusion in the newsletter.

Selecting your division/department on the Submission Form will send it to the correct Division Coordinator. If you need to contact your coordinator for any reason, the table below will help you identify who handles Hornet Weekly submissions for your area.

For anyone submitting from within Student Affairs, the Hornet Weekly Editor is your Division Coordinator.
