CHHS Student Hiring Process

Student Hiring Process

Academic Student Employees (ASE PTF) Unit 11 

  • GPA Minimum Requirements (Cumulative)
    • Graduate Students 3.00 or better (newly admitted 2.5)
    • Undergraduate Students 2.5 or better (newly admitted 2.0)
  • All Hiring documents must be completed BEFORE the student can begin work.

Summer

  • Summer Bridge Student Assistants (1874): 6/1/2025 - 8/31/2025
  • Instructional Student Assistants (1150): 5/27/205 - 8/24/2025
  • Teaching Associate (TA-2354):05/22/2025 – 08/19/2025* *End date is not flexible.
  • Graduate Assistant (GA-2355):07/01/2025 – 08/31/2025

Fall

  • Teaching Associate (TA): 08/ 20 / 2025 – 01 / 02 / 2026 *End date is not flexible.
  • Graduate Assistant (GA):09 / 01 / 2025 – 01 / 29 / 2026
  • Instructional Student Assistant (ISA): 08 / 25 / 2025 – 01 / 20 / 2026

Student Employment (SEPTF) Non-Unit 11 / Student Assistant Hiring Dates:

  • Summer Bridge Student Assistants ( SA-1874): 6/1/2025 - 8/31/2025
  • Student Assistants / Non-Citizen Status (SA-1870 & 1868): 8/25/2025- 5/31/2026
  • Federal Work-study Student Assistants (SA-1871 & 1872): 8/25/2025-5/22/2026

    Student Employee Hiring Process (1868-SA non-resident, 1874- SA Summer Bridge, 1870, 1871 SA-FWS)

    • The department completes the Qualtrics-Student Hiring survey to request approval for hiring.
    • Upon approval confirmation from the college, you can proceed with your Student hire.
    • The department can proceed with initiating job posting via Handshake students can apply for the position in Handshake
    • The department determines if the applicant(s) are qualified for employment by reviewing applications.

    • When the department selects the hiring candidate. The hiring department creates Student Personnel Transaction Form (OnBase) and provides the college timekeeper the selected candidates information below:

    • Send your college timekeeper Alma Valdez an email to provide the candidate hiring information:
      • Student’s name
      • Student ID
      • Department
      • Supervisor name
      • Hourly Rate
      • Appointment dates
      • Job Code 1868-SA non-resident, 1874-Summer Bridge, 1870-SA, 1871-FWS SA

    • The student will be emailed if they need to submit information or documents for:
      • Background Check – Students may need to submit to a background check, unless they’ve had one within the last year.
      • Payroll – Students being hired for the first time or have had changes to their name, marital status, etc. will need to submit the following: Official Gov’t Issued ID; Social Security Card; and Passport (Int’l students)
    • All Payroll documents must be completed PRIOR to starting This applies to new hires & students that have not worked for more than 12 months on campus.

    When can a student start working? Work Offer Letter?

    • After a student has completed all Payroll hiring paperwork, if approved, HR/Student Employment Office will notify eligible students with their work offer. The hiring department/program/college contact person will be notified as well.
    • Processing an application may take 1– 2 weeks AFTER a department/program/college have entered a hiring request.
    • The student is to sign and return the offer letter before they can start
    • Students have 2 weeks to return the signed offer letter to the HR/Student Employment Office

Unit 11-Academic Student Employee Hiring Process

Instructional Student Assistants (ISA-1150) Graduate Assistants (GA- 2355), Teaching Assistants (TA-2354)

  • An application is sent through the system to the department/program/college directly for Unit 11 employees.
  • The department determines if the applicant(s) are qualified for employment by reviewing applications.
  • When the department selects the hiring candidate. The hiring department creates an offer
  • Contact your college timekeeper Alma Valdez to provide the candidate hiring information:
    • Student’s name
    • Student ID
    • Department
    • Supervisor name
    • Time base/ Monthly Salary
    • Appointment dates
    • Job Code 1150-ISA, 2354-TA, 2355-GA)
  • Office of Graduate Studies for more information you can go to the main website for links, forms, datelines.
  • The Office of Graduate Studies will be reviewing & approving students after verifying GPA, units, hours, etc. for each student. The information will be tracked by Student HR.
  • Open positions are posted by departments and programs online at Student Employment .The student will be emailed if they need to submit the following information or documents to complete the hiring process:
    • Background Check – Students may need to submit to a background check, unless they’ve had one within the last year.
    • Payroll – Students being hired for the first time or have had changes to their name, marital status, etc. will need to submit the following: Official Gov’t Issued ID; Social Security Card; and Passport (Int’l students)

    • Newly hired (TA, GA and ISA) are required to attend a 30-minute orientation with a UAW representative. The new hires will be paid for the 30-minute orientation. Orientations can be conducted in a group or one-on-one setting. The college will set up 3-4 orientations for fall and spring. Your student must attend one of the orientations corresponding to the semester hired.

  • Student reviews positions and applies through PageUp.

Student Job Descriptions

The Instructional Student Assistant (1150/1151-ISA) (Undergraduate or Graduate Students) position is focused on grading, tutoring, or teaching (not instructor of record).

The Graduate Assistant (2355 -GA) (Graduate Students) assists a faculty member or teaching staff with various professional and technical duties (non-teaching) associated generally with the subject of programs in which the assistant is doing graduate work: supervising students in a classroom, workshop, or laboratory, training students in the use of equipment or resources, assisting faculty with research and preparation of course materials, participating in the evaluation of students’ work, tutoring students, and other related work.

The Teaching Associate (2354-TA) (Graduate Students) performs assignments that primarily involve classroom and laboratory instruction. Responsibility for a course may be vested in the Teaching Associate under the direct supervision of an appropriate faculty member. Typical duties include being responsible for providing classroom and/or lab instruction, making assignments to students, preparing course materials, administering examinations, assessing student performance, tutoring t student and determining course grades. Also, incumbents may assist faculty with field experience, supervision, simulation exercises and/or research projects.

The Student Assistant (1870/1871-SA) (Undergraduate or Graduate Students) performs other duties including clerical, technical, custodial, laborer, or other work as assigned. There is not a set Position Description for Student Assistants, but you can take a look at the Pay Scale, which list typical duties and for students and suggested pay range.

The Bridge Student Assitant 1872 -BSA (Undergraduate or Graduate Students) is used primarily during the summer, if the student is not enrolled for the summer semester (YRO) or during the academic year, if the student assistant is enrolled in less than half time status (undergraduate level=6 units, graduate level=4 units). Using the Bridge classification does not automatically authorize a student assistant to work more than 20 hours per week during the academic year. Student employees who fall within the Bridge classification must contribute to the Part-time, Seasonal & Temporary Employees Retirement Plan (PST) and Medicare.

The Student–Nonresident Alien Tax Status classification (NRA- 1868) has been established in the CSU to help campuses meet federal tax compliance requirements in order to accommodate federal tax withholding requirements as appropriate. This classification is used year-round while the student remains in a nonresident alien tax status. Appointments to the Student–Nonresident Alien Tax Status classification are exempt from FICA.

All documents must be completed before student can begin work:

Completed I-9 along with the following:

  • Employee Action Request form
  • Emergency Contact Form
  • Student Employee Agreement
  • Oath of Allegiance
  • Supplemental Application Form
  • Designation of Person(s) Authorized to Receive Warrants form
  • CALPERS Self Certification form
  • SSA 1945a form
  • The I-9 Verification in person and on campus, Student Employment Office located in Del Norte Hall, Room 3009. Our scheduled office hours are Monday-Friday between 8:00 a.m. and 5:00 p.m. Please bring your completed paperwork and valid forms of ID* to our 3rd floor Del Norte Hall office. I-9 Acceptable Documents.
