Release Time Forms

This page provides information regarding how to document the release of faculty/staff from their regular teaching/work assignments to work on special projects.

Faculty Release Time

Want to buy out a faculty member? Follow the steps noted below. You can also find in-depth details in the Funding Dept Faculty Release Time Request Process document.

  • Complete a Funding Department Faculty Release Time Request Template and email to the faculty member’s College Resource Analyst
  • The College Resource Analyst will route the following to you through Adobe Sign:
    • a memo for your signature
    • a computation sheet noting the estimated cost

If you approve and wish to proceed, sign the memo in Adobe Sign

If you do not wish to approve or proceed, please decline the Adobe Sign request

  • Once approved, the request will be routed to the Faculty member, Department Chair, Department Staff and OFS Analyst.
  • The Faculty member’s department will record the Faculty release time via the Faculty Release Time Request form located in OnBase.

Staff Release Time

Want to buy out a staff member? Follow the steps noted below.

  • Complete a Staff Release Time Request Form and email to the OFS Analyst, Leigh Barber
  • The OFS Analyst will prepare a computation sheet, the necessary financial transfers and submit them to the Budget Office for processing.

Administrative Coordinative Time

Dean, Associate Dean, Department Chair & Coordinator’s work assignments are recorded on the Administrative Coordinative Time Form and is submitted to Nancy Hardy in OIREP.

Leaves

Leaves such as Leave without Pay, Sabbatical etc. should NOT be recorded using this method. Instead, you should work with Benefits, HR (staff) OR Faculty Affairs (faculty) regarding this type of release.

Quick Tips

  • Recommended browser for OnBase release time form is Firefox.
  • Instructions are included on the Faculty Release Time Request Form “Instructions” tab in OnBase.
  • If new employees’ appointment is not active in CHRS and thus, data does not auto-populate in the OnBase form, please wait to enter until their appointment is active in CHRS
  • Only one person can view/edit a form in OnBase at any given time
  • Please close your OnBase browser after you complete your review to ensure you don’t lock the form for another user (e.g., the next approver in the workflow process)
